I led the rebuild of a desktop app as a web app, so law firms can order medical records and get them back inside Filevine.

The problem

RecordSync helps US law firms request their clients’ medical records. In personal injury cases this is slow and involves a lot of paperwork.

It was a desktop app, which limited who could use it and from where. It also sat outside Filevine, the case management tool the firms work in all day, so staff had to switch between the two to order records and then file what came back.

The records are long too. One client’s file can be hundreds of pages, and someone has to read through it to find what matters for the case.

What I built

[Screenshot: RecordSync web app, demo data]

Web app rebuild

  • Rebuilt RecordSync as a web app on WeWeb and Xano, so firms can use it in any browser without installing anything
  • Moved the ordering and fulfilment steps into n8n and Make
[Screenshot: ordering records from inside Filevine, demo data]

Filevine integration

  • Staff order records from inside Filevine
  • When an order is done, the records go straight into the right case in Filevine. Nobody has to download and re-upload files.
[Screenshot: Record Insight summary, demo data]

Record Insight (AI summaries)

  • An n8n pipeline that takes a medical record, runs OCR on it and has AI summarise it
  • The result is a new 2–4 page document with the key facts, so the legal team doesn't have to read hundreds of pages

Leading the team

  • I did this while working at a software agency. I started as lead developer, then moved to managing the developers on the project.
  • I planned the work, reviewed what they built and kept delivery on schedule.

Results

Minutes

for a summary that used to take days. Under 10 for shorter records.

2–4 pages

summary from a 50–500 page record

[PENDING: number]

record orders a week on average

The desktop app is now a web app. Filevine users order and receive records without leaving Filevine.
